Job Overview
The Program Office Manager will play a critical role in supporting the effective management and execution of an ERP (Enterprise Resource Planning) and EAM (Enterprise Asset Management) system implementation across multiple business functions. This role is responsible for ensuring that the program runs smoothly, tracking project milestones, managing resources, and providing strategic oversight to help drive the success of the program.
The Program Office Manager will work closely with the Program Director, project managers, and cross-functional teams to ensure timely delivery, monitor risks, maintain budget and resource tracking, and oversee communication and reporting across all program stakeholders.
Key Responsibilities
- Program Oversight and Coordination
- Manage and coordinate day-to-day activities for the Program Management Office (PMO) ensuring smooth execution of the ERP and EAM program.
- Ensure the program stays on track, meets deadlines, and aligns with the overall business objectives. Support the Program Director in maintaining program governance and high-level decision-making processes. Planning and Resource Management
- Develop and maintain the overall program plan, including timelines, milestones, and resource allocation.
- Track program resources (personnel, budget, tools) and make adjustments as needed to ensure program success. Work with Project Managers to track progress and assist with the identification of resource gaps.
- Program Monitoring and Reporting
- Prepare and manage regular program status reports, dashboards, and executive updates for key stakeholders.
- Facilitate monthly/quarterly program reviews, and contribute to steering committee meetings and ad-hoc executive briefings. Monitor KPls, deliverable timelines, and project health, flagging issues or delays early and ensuring corrective actions are taken. Risk and Issue Management
- Act as a central point for identifying, assessing, and managing program risks and issues. Work with project managers and teams to develop mitigation strategies for potential risks.
- Ensure the escalation of critical issues to the Program Director and senior leadership in a timely manner.
Change Control and Documentation
- Oversee the change management process, ensuring all program changes are properly documented and communicated. Ensure that program documentation (project plans, reports, logs) is up to date and stored according to PMO standards. Maintain the RACI matrix, ensuring clear roles and responsibilities are adhered to across the program.
- Stakeholder Communication and Engagement
- Foster strong relationships with stakeholders and ensure clear, transparent communication regarding program status and changes.
- Assist in structuring workshops, meetings, and presentations with stakeholders, ensuring alignment and engagement across the organization.
- Ensure alignment of the program with the needs and expectations of different business functions impacted by the ERP and EAM systems.
Process Improvement
- Continuously assess and recommend improvements in program management processes, tools, and methodologies.
- Provide coaching and guidance to program teams on PMO standards, processes, and best practices.
- Ensure alignment of program processes with company-wide PMO methodologies and ERP/EAM best practices.
Qualifications
Education:
- Bachelor's degree in Business Administration, Information Technology, Engineering, or a related field. PMP (Project Management Professional) or similar project management certification preferred.
Experience:
- Minimum 5-7 years of experience in program or project management, preferably within large-scale ERP and/or EAM system implementations.
- Proven experience working with cross-functional teams and managing complex, multi-phase projects.
- Experience in managing or coordinating programs with multiple stakeholders and business areas (e.g., Finance, Operations, Supply Chain, HR).
Skills:
- Strong understanding of ERP and EAM systems and their integration with enterprise processes. Expertise in program/project management methodologies (e.g., Agile, Waterfall, Hybrid).
- Proficiency in PMO tools and software (e.g., Microsoft Project, ADO). Exceptional organizational, planning, and resource management skills.
- Strong communication and interpersonal skills to effectively interact with senior leadership and cross-functional teams.
