Job Title: Records Management Clerk
Duration: 6 months (contract)
Location: Edmonton, AB (On-site)
Our client is looking for a motivated records management clerk to join the Procurement Services Branch. This role involves organizing, maintaining, and overseeing the migration of official records in the Corporate Purchasing SharePoint repository. The clerk will ensure records are correctly named, categorized, and accessible per the Branch’s guidelines. Additionally, they will develop process documentation to ensure easy access to records, while maintaining compliance with organizational policies and goals.
Key Responsibilities:
- Records Organization: Organize and categorize official records, ensuring proper naming and classification for easy retrieval.
- Metadata Assignment: Assign relevant metadata to records for tracking, retrieval, and archiving, in line with Branch standards.
- Process Documentation: Create and maintain clear documentation for accessing, storing, updating, and disposing of records, ensuring compliance with legal and operational requirements.
- Records Access: Implement efficient retrieval systems and train staff on proper record handling, ensuring adherence to privacy and organizational policies.
- Compliance & Security: Ensure all records management practices comply with Branch requirements and maintain confidentiality and security of sensitive data.
Must Have:
- Minimum 2+ years experience in an Information Management environment working with records/documents
- Minimum 2+ years with records management
- Minimum 2+ years experience using Microsoft SharePoint
- Minimum 2+ years experience with the use of Central Administration on a SharePoint environment
Mandatory Training Courses:
• Once hired the resource will be required to complete all mandatory training which includes but not limited to Freedom of Information and Protection of Privacy Act, Security/Cybersecurity, Information Management, and Respect in the Workplace. There may also be other mandatory and/or optional training.
